Job Overview:
Our client, a well-established rehabilitation centre, is seeking a dedicated and detail-oriented Accounts/Admin Assistant to support its day-to-day finance and administrative operations. The successful candidate will play a key role in ensuring smooth coordination between the centre’s internal team, users, and external partners.
Key Responsibilities (include but are not limited to):
- Collect user fees and manage daily banking transactions.
- Respond to general enquiries via phone and email professionally and promptly.
- Prepare administrative and accounting documents for approval and signature.
- Prepare and submit accurate documentation to the outsourced accounting vendor in a timely manner; proficiency in QuickBooks Accounting Software is required.
- Verify supplier invoices and obtain appropriate managerial endorsements.
- Input user invoices into the ILTC portal for monthly MOH subvention claims.
- Assist the accounting vendor in preparing annual income statements for IRAS filing.
- Order office supplies including stationery and monthly toiletries.
- Maintain accounting records and supporting documentation for the annual audit .
- Liaise with users' next-of-kin in emergency situations.
- Support efforts to maintain a clean, safe, and user-friendly environment for centre users.
- Record user admissions and discharges in Cares and Bright portals.
- Assist in meal serving and accompany users during transport as needed.
- Undertake any other duties assigned by the centre’s manager.
Requirements:
- Minimum [insert qualification, e.g. “GCE 'O' Level / Diploma in Business Administration or Accounting”]
- Proficiency in QuickBooks Accounting Software is required
- Strong organisational and multitasking abilities
- Good interpersonal and communication skills
- Ability to work independently and within a team Prior experience in healthcare, eldercare, or social services is an advantage
