Role Overview
The Estimator & Procurement Executive will be responsible for preparing accurate quotations for IFM works based on the Schedule of Rates (SOR) and project requirements, as well as sourcing and negotiating for materials, spare parts, and services at competitive prices. The role bridges cost estimation and procurement to support smooth and cost-effective project delivery.
Key Responsibilities
Quotation & Estimation
- Review project requirements, tender documents, and SOR to prepare quotations.
- Measure quantities and apply correct unit rates for pricing.
- Work closely with project managers and engineers to ensure costings align with technical scope.
- Prepare cost breakdowns for management approval.
- Update and maintain costing database for recurring IFM works.
Procurement & Sourcing
- Source and evaluate suppliers/vendors for parts, materials, and subcontracted services.
- Request and compare quotations to ensure best value.
- Negotiate prices, payment terms, and delivery schedules with suppliers.
- Ensure compliance with company procurement policy and project timelines.
- Maintain supplier database and track market price trends.
General
- Liaise with operations teams to ensure material availability for ongoing works.
- Support project cost control and budgeting activities.
- Prepare procurement reports and documentation for audit/compliance.
Requirements
- Diploma/Degree in Building, Quantity Surveying, Mechanical/Electrical Engineering, or related discipline.
- At least 2–3 years’ experience in cost estimation, procurement, or contracts (preferably in IFM / construction / M&E industry).
- Familiar with SOR and basic contract terms.
- Strong negotiation and analytical skills.
- Proficient in MS Office (Excel, Word) and familiar with costing software (advantage).
- Detail-oriented, organized, and able to work under tight deadlines.
