Role Overview
The IT Administrative Clerk plays a vital role in supporting the IT department by managing administrative processes, asset tracking, and monthly reporting in line with Whole-of-Government (WOG) standards. The role requires close collaboration with the IT team, vendors, and internal stakeholders to ensure smooth coordination of IT support activities and accurate documentation for operational and audit purposes.
Key Responsibilities
- Maintain and update IT asset inventory records (e.g. laptops, accessories, software licenses) in accordance with WOG asset management guidelines.
- Track issuance, transfer, and return of IT equipment for users, ensuring proper documentation and accountability.
- Raise, update, and monitor service requests in the ITSM portal for procurement, support, and access requirements.
- Coordinate with vendors for quotations, deliveries, and invoice processing.
- Maintain documentation of IT policies, user guides, and standard operating procedures.
- Log and follow up on IT support issues, escalating when necessary.
- Support users’ onboarding and offboarding processes, including account setup and asset handling.
- Schedule and coordinate IT-related meetings, briefings, and training sessions.
- Prepare and submit monthly IT reports covering asset status, service request metrics, and pending actions.
- Handle general administrative tasks such as filing, data entry, and correspondence.
Key Requirements
- Prior experience in a WOG environment or familiarity with WOG IT processes preferred.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong organisational skills and attention to detail.
- Effective verbal and written communication skills.
- Basic knowledge of IT systems and terminology.
- Experience with ITSM tools such as ServiceNow and BMC will be an advantage.
