The Administrative Assistant will be responsible for providing comprehensive administrative and clerical support to ensure the efficient operation of the office. The ideal candidate will be a proactive problem-solver with exceptional communication skills and a meticulous attention to detail. This role requires the ability to multitask effectively in a fast-paced environment while maintaining a professional and friendly demeanor.
Key Responsibilities:
- Manage and maintain schedules, appointments, and calendars.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Answer and direct phone calls, take messages, and respond to inquiries.
- Organize and maintain physical and digital filing systems.
- Serve as the primary point of contact for internal and external stakeholders.
- Coordinate and schedule meetings, including booking rooms and arranging necessary materials.
- Handle incoming and outgoing mail and packages.
- Assist with data entry and maintain accurate databases.
- Order and manage office supplies, and ensure the office is well-stocked and tidy.
- Support other administrative tasks and special projects as needed.
Qualifications:
- Proven experience as an administrative assistant, virtual assistant, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities with a high degree of accuracy.
- Ability to work independently and as part of a team.
- Diploma required; associate's or bachelor's degree is a plus.
