Service Admin – Key Responsibilities:
1. Prepare Service Documentation
- Create and maintain job sheets, service reports, and work orders.
- Ensure all service records are accurate and up-to-date.
2.Generate Quotations
- Prepare cost estimates and quotations for services, repairs, and parts.
- Coordinate with technicians or engineers for accurate pricing and service scope.
3.Customer Follow-Up
- Follow up with customers regarding pending quotations, approvals, and feedback.
- Provide updates on job progress, service scheduling, or parts availability.
4.Assist on Schedule Service Jobs
- Coordinate with service technicians and clients to schedule site visits or maintenance.
- Maintain and update the service calendar or tracking system.
5.Maintain Filing and Record Systems
- Organize and store all customer and job-related documents digitally or physically.
- Ensure compliance with documentation and company policy.
6.Respond to Customer Inquiries
- Handle emails and calls regarding service requests, product support, or job status.
7. Assist in Procurement
- Coordinate with suppliers for parts ordering when needed for service jobs.
8. Support Service Team
- Assist technicians with administrative needs, including site access arrangements or job reference documents.
9.Report Preparation
- Prepare regular reports on service status, outstanding jobs, and customer feedback.
