Job Summary
We are seeking a proactive and detail-oriented Site Admin to provide comprehensive administrative and clerical support to our project team in the Mechanical & Electrical (M&E) construction sector. This role is critical to ensuring smooth day-to-day operations at both the office and construction site levels. The ideal candidate will be organized, capable of handling multiple priorities, and possess a solid understanding of documentation processes within a project environment. You will play a key role in supporting project execution, documentation control, procurement coordination, and administrative efficiency throughout the project lifecycle. Prior experience in construction or M&E environments will be a strong advantage.
Key Responsibilities
- Provide administrative and clerical support to project teams or executives at both office and jobsite locations.
- Prepare, type, and distribute project-related documents including subcontract agreements, purchase orders, contracts, letters, and other correspondences.
- Maintain accurate digital and physical filing systems for project documentation in accordance with company procedures.
- Keep project data, records, and trackers up to date for internal and external use.
- Coordinate with subcontractors and suppliers on documentation, such as claims, delivery notes, certifications, and compliance submissions.
- Assist in preparing project documentation for cash flow, progress claims, insurance, work schedules, and client submissions.
- Support project close-out activities, including compiling Operation & Maintenance (O&M) manuals and handover documents.
- Set up and maintain project binders, and coordinate printing and distribution of project drawings with vendors.
- Organize and issue project punch lists and follow up with relevant parties for completion.
- Handle requisitions of office and project supplies and ensure timely delivery to site teams.
- Ensure all work areas and filing systems are orderly and that jobsite documentation is well-maintained and accessible.
- Attend and assist in project or coordination meetings, preparing meeting notes when necessary.
- Support the project team with scheduling, meeting coordination, interviews, and travel arrangements.
- Participate in the rollout of new internal procedures, systems, or digital tools as directed by management.
- Archive project files and documents per company and client retention policies.
- Perform any other duties as assigned by management to support project success.
Requirements
- Minimum N/O/A Level qualification to above.
- At least 1 year of relevant experience in an administrative role; experience in M&E or construction industry preferred.
- Strong attention to detail and meticulous in handling documentation.
- Ability to work independently, manage multiple tasks, and meet deadlines.
- Proficient in Microsoft Office applications (Word, Excel, Outlook).
- Good communication and interpersonal skills.
- Familiarity with project document control systems is a plus.
