Job Title: Administrative Assistant
Job Description:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication.
Key Responsibilities:
- Answer and direct phone calls
- Organize and schedule appointments and meetings
- Maintain contact lists and manage office correspondence (e.g., emails, memos, letters)
- Prepare reports, presentations, and documents
- Develop and maintain a filing system (digital and paper-based)
- Order office supplies and research new deals and suppliers
- Assist in the preparation of regularly scheduled reports
- Book travel arrangements and process expense reports
- Handle requests for information and data
- Liaise with executive and senior administrative assistants to handle requests and queries
Requirements and Skills:
- Proven experience as an administrative assistant or in a related field
- High school diploma; additional qualification as an administrative assistant or Secretary will be a plus
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Attention to detail and problem-solving skills
- Ability to multi-task and prioritize work
- Time management skills
- Professional demeanor and discretion when handling confidential information
Preferred Qualifications:
- Associate’s or Bachelor’s degree in business administration or related field
- Experience with office equipment (e.g., fax machines and printers)
- Familiarity with project management tools or customer relationship management (CRM) systems
