Job Description
SCOPE:
This position oversees daily office operations and provides administrative support to the APAC Customer Service and Marketing teams, along with other assigned tasks.
REPORTING RELATIONSHIP:
This role reports to the Customer Service and Office Manager - APAC.
RESPONSIBILITIES / AUTHORITIES:
- Oversee all aspects of daily office operations, including but not limited to visitors’ management, management of meeting room schedules, maintaining office supplies, handling mail and courier services, and providing general administrative support to the Customer Service team.
- Execute routine office errands and support other departments with local tasks as needed.
- Manage facilities and utilities for the Sales Office, including vendor coordination, maintenance contracts, service provider relationships, and license renewals.
- Serve as the primary liaison for the landlord, attend briefings, coordinate fire drills, and ensure pantry and office utilities are maintained in proper condition.
- Act as Site Coordinator for HSE compliance and activities.
- Support the planning and logistics of marketing events, including venue bookings, travel arrangements, attendee coordination, and documentation.
- Handle administrative tasks related to events, such as processing invoices, tracking payments, and organizing event materials.
- Coordinate the distribution and delivery of marketing collaterals across the region.
- Maintain marketing calendars, records and support other administrative tasks and ad-hoc projects as required.
Qualifications
- Diploma in Business Management, Marketing, or a related field.
- Minimum 2 years of relevant experience, preferably in the medical device industry.
- Proficiency in Microsoft Office
- Highly adaptable in dynamic and fast-paced environments.
- Strong verbal and written communication skills in both English and Chinese
- Independent, mature, detail-oriented, and a collaborative team player
