Human Resource
- Recruitment of staff, including clinic receptionist and dental assistants;
- Training of staff in counter reception duties;
- Management of clinic receptionist and dental assistants; and
- Rostering of clinic receptionist, dental assistants and dentists.
Stock, Inventory and Procurement
- Ensures that the clinic is adequately stocked with office supplies, medical equipment(s) and consumables, medicines and any other items necessary for the day-to-day operation of the clinic;
- Perform stock checks on regular basis, with assistance from counter receptionists or dental assistants;
- Purchases stocks from approved suppliers; and
- Perform basic stock purchase cost management to ensure that clinic operation costs are controlled.
Finance
- Coordinates payments to vendors and suppliers;
- Performs basic revenue and cost accounting to ensure that the day-to-day finances of the clinic are properly accounted for; and
- Manages petty cash of the clinic.
- Tallying the relevant GST input and output amounts and liaising with the relevant parties as necessary
Counter Reception
- Attends to all patients’ enquiries for appointments and/or walk-in treatment;
- Patient registration; Discharges patients by dispensing medications (or as required), collecting payments accurately, issuing of MC and/or receipts and scheduling patient for subsequent appointments;
- Drafts claims for CHAS treatments;
- Submits insurance dental claims whenever required;
- Records and files documents in accordance with the clinic’s Standard Operation Procedures (SOPs);
- Keys in sales of dental products in Clinic Management software; Sends, tracks and receives laboratory cases;
- Calls patients to remind them of their subsequent appointment with the clinic whenever required;
- Ensures accurate translation of doctors’ schedule into the Clinic Management software; and
- Maintains the cleanliness and neatness of the clinic.
