Front Desk Management:
- Greet and welcome patients as they arrive at the clinic.
- Manage patient check-ins and ensure they are directed to the appropriate medical professionals.
- Answer and direct incoming phone calls in a courteous and professional manner.
- Assist in booking, rescheduling, and confirming appointments.
Patient Registration:
- Verify and update patient details (e.g., name, contact information, medical history, and insurance details).
- Ensure proper documentation and data entry of patient information in the clinic's system.
- Assist patients with completing necessary forms, including consent forms and insurance claims.
Scheduling and Appointment Management:
- Coordinate appointment schedules for doctors, specialists, and other healthcare providers.
- Handle appointment reminders through phone calls, SMS, or emails to reduce no-shows.
- Maintain an accurate patient appointment calendar and inform patients of any delays or changes.
Billing and Payments:
- Process payments for consultations, treatments, and services.
- Issue receipts and provide cost estimates for services.
- Assist in the submission of medical claims to insurance companies.
Medical Records and Document Management:
- Maintain and organise patient records, ensuring confidentiality and adherence to privacy regulations (e.g., PDPA - Personal Data Protection Act in Singapore).
- File and retrieve patient records when requested by healthcare professionals.
Communication and Coordination:
- Serve as a liaison between patients and medical staff, ensuring clear communication.
- Respond to patient inquiries about clinic services, policies, and procedures.
- Ensure the waiting area is clean, organised, and stocked with necessary materials.
General Clinic Support:
- Assist in ordering and managing clinic cleanliness, supplies and equipment.
- Support other administrative staff as needed, including assisting with patient referrals or follow-up calls. Handle any other ad hoc duties related to the clinic’s operation.
Job Requirements:
- Education: Minimum GCE O-Level or equivalent. Additional certifications in healthcare administration or medical office management are a plus.
- Experience: Prior experience in a receptionist or customer service role, preferably in a healthcare setting.
Familiarity with medical terminology, appointment scheduling, and patient interaction is advantageous.
- Skills: Strong communication and interpersonal skills.
Proficiency in office software (e.g., Microsoft Office, clinic management software).
Good organizational skills and attention to detail.
Ability to multitask and handle a busy work environment.

Working Conditions:
- Full-time position, with regular clinic hours.
- Monday to Friday (9am to 6pm), Saturday (9am to 1pm)
- Comfortable working in a healthcare setting.
