We are looking for a proactive and organized Office Sales Admin to support our automotive operations. The ideal candidate will handle the reporting of accident vehicles, coordinate with clients on vehicle-related matters, and assist in the purchase of parts in collaboration with mechanics. This role is essential to ensuring smooth day-to-day operations and excellent customer service.
Key Responsibilities
1. Accident Vehicle Reporting
- Handle the reporting of accident vehicles to the relevant authorities, insurance companies, or internal systems.
- Ensure all documentation and photographs are accurately captured and filed.
2. Client Coordination
- Liaise with clients on vehicle status, repair updates, and service timelines.
- Provide timely and professional responses to client queries.
- Schedule appointments for vehicle drop-off, inspection, or collection.
3. Parts Procurement
- Assist with the purchase of vehicle parts , working closely with mechanics to identify required components.
- Source and compare quotations from suppliers to ensure cost-effective procurement.
- Monitor order status, delivery timelines, and stock availability.
4. General Administrative Support
- Maintain proper filing and documentation of vehicle records, invoices, and client communications.
- Support the workshop or operations team with day-to-day administrative tasks as needed.
Requirements
- Minimum GCE ‘O’ Level / Diploma in Business Administration or related field
- Prior experience in automotive or workshop environment is an advantage
- Strong communication and coordination skills
- Good attention to detail and ability to multitask
- Basic knowledge of vehicle parts is a plus
- Proficient in Microsoft Office (Word, Excel)
