Team Assistant
Description
Roles and responsibilities:
Drafting routine correspondence and proofreading materials.- Making travel arrangements, including travel itineraries, hotel arrangements, ground transportation, visa arrangements, etc.
- Understanding of IFC guidelines, systems and procedures and able to work with teams remotely.
- Assisting in planning and monitoring of project-related activities, i.e. logistical arrangements for regular meetings and client visits, teleconferences and videoconferences, guest passes, etc.
- Organizing office and business-related events and training programs, including procurement, contract management, processing vendor invoices and purchase orders, F&B catering, invitations, RSVPs, registrations, travel related visa arrangements for overseas participants, and coordination with Facilities and IT team on logistical set-up.
- As part of a co-located (World Bank, IFC and MIGA) office in Singapore, works collaboratively with ACS staff across all WBG offices.
- Providing back-up support to other ACS peers in their absence or during periods of heavy workload.
- Undertaking any other tasks assigned by Country Manager to support the local office and business needs.
Selection Criteria
- Bachelor’s degree or equivalent diploma or comparable experience with minimum 3 years of relevant experience.
- Strong written and oral communication skills, ability to draft a variety of correspondences and edit materials independently.
- Excellent time management, organizational skills and interpersonal skills to effectively deal with staff in a multicultural environment and across remote locations.
- Experienced working within tight deadlines and under pressure; the flexibility to work overtime during peak periods on short notice.
- Full proficiency in English, both written and spoken.
- Proficiency and prior experience in MS Office: Excel, Word, PowerPoint and Outlook.
