Responsibilities:
Ensuring timely preparation and processing of expense reports
Assist in coordinating Executive Team Meetings, company conferences and meetings with major customers with a high degree of professionalism and coordination
Track all documents for approval and signage
Draft communications as required
Develop and maintain a deep knowledge of the company business processes and systems in support of the duties and responsibilities of the position
Support Executive’s work and communication
Maintain Office facilities as needed
Provide administrative support to senior leadership for Global Risk
Incredibly organized, detail-oriented and able to prioritize multiple assignments
Knowledgeable about organizing team events
Documents meeting minutes for staff, manage action items
Maintain Calendar(s) for multiple executives
Coordinate with others to schedule meetings
Provide general department administrative processes
Leadership support
Cross train & back-up others
Answer phone and deliver messages timely
Printing, collating, as needed by the team
Qualifications for admin executive
Prefer knowledge and experience in Microsoft Office technology tools
The ideal candidate must have experience in handling a wide range of administrative related tasks, an interest and passion in learning contributing beyond the day to day administrative aspects of the role
Diploma or any discipline or equivalent experience and 2+ years of specialized administrative support experience of an increasingly responsible nature at a senior level
The ability to maintain confidentiality is vital
Minimum 2 years Executive Administrative experience
Ability to be self-motivated and resourceful in a highly chaotic and unstructured start-up environment
