Job Title: Admin Assistant (Warehouse Office)
Job description :
Handles critical administrative tasks focused on accurately managing stock movements — including delivery orders and stock returns — using both computer systems and Excel. This role demands exceptional attention to detail, swift and accurate data entry, and the ability to work efficiently under tight deadlines.
Key Responsibilities
- Stock Documentation & Data Entry
o Accurately update delivery orders, stock returns, and all warehouse-related transactions in the computer system and Excel.
o Input in/out inventory with precision, ensuring timely and error-free entries
o Assist with picking lists, packing lists, internal transfers, and returns documentation
- Warehouse System Management
- Operate and maintain the warehouse management or ERP system to track inventory movements efficiently
- ensuring system records reconcile with physical counts.
- Recordkeeping & Filing
- Establish and maintain a neat, reliable filing system for all warehouse documents and data entries.
- Assist in generating reports and providing regular status updates to internal stakeholders
Collaborative Support
- Liaise with internal departments—logistics, purchasing, sales—to resolve discrepancies and update order statuses
- Support warehouse staff during peak periods or staff absences; assist pickers/receivers when needed
General Administrative Duties
- Manage deliveries and returns or new purchases documentations accurately.
- Provide ad-hoc clerical support as assigned.
Qualifications & Skills
- Educational Background
o Minimum: GCE O‑Levels, NITEC, or equivalent.
- Technical Proficiency
o Strong in Microsoft Excel (e.g., formulas, pivot tables) and other Office tools.
o Familiarity with ERP or warehouse management systems preferred
- Core Competencies
o Exceptional attention to detail, ensuring high accuracy in data entry and documentation
o Fast and efficient in managing high-volume, repetitive tasks.
o Excellent time management and ability to meet tight deadlines
