Responsibilities:
Are you detail-oriented, organised, and passionate about supporting healthcare services? We are looking for a proactive Administrative Assistant to join our dedicated team in delivering quality care and support to our residents and staff.
Key Responsibilities:
Administrative / Clerical
- Maintain accurate data entry and retrieval in internal systems.
- Update residents’ admission, discharge, and transfer records.
- Ensure timely updates to E-Bedstate in IRMS.
- Prepare billing for medical, transport, and other support services.
- Support procurement processes for medical and surgical supplies.
- Assist with medication logistics and coordination with pharmacy.
- Maintain proper documentation, filing, and support administrative reporting.
- Schedule staff appointments and support meeting arrangements. Record minutes, prepare training materials, and ensure training room readiness.
Reception / Communication
- Act as the first point of contact for residents, visitors, and staff.
- Handle phone/email enquiries and direct messages appropriately.
- Provide courteous and clear communication in English. Guide visitors in and out of the facility.
Ward Support
- Manage despatches and document distribution to/from wards.
- Coordinate internal communications with nursing and other departments.
Requirements:
- GCE ‘O’ Level or equivalent; relevant administrative or healthcare certification is a plus.
- At least 1–2 years of experience in an administrative role, preferably in healthcare.
- Proficient in Microsoft Office and data entry systems.
- Strong organisational and multitasking skills.
- Good interpersonal and communication abilities.
- Ability to maintain confidentiality and work in a team-based environment.
Requirement:
- GCE 'O' level with minimum of 3 credits including English.
- At least one year of clerical / secretarial experience in healthcare-related field is required.
- Familiarity with basic computer skills is required.
