- Document Control & Management
Establish, maintain, and manage a comprehensive document control system for all project documentation (drawings, technical submissions, correspondences, etc.).
Ensure all technical submissions are properly prepared, submitted, tracked, and followed up until approval is obtained.
Maintain accurate and up-to-date filing of project drawings in designated folders, ensuring proper version control.
Save and organize site progress photos and ensure they are properly indexed for project reference.
Maintain an auditable trail of all incoming and outgoing documents, including distribution to relevant stakeholders. - Project & Team Support
Assist Project Directors (PD), Project Managers (PM), and Engineers with document-related tasks and site coordination support.
Work closely with the Quantity Surveyor (QS) to provide accurate site information to support billing to clients .
Attend project meetings as required and prepare/distribute accurate minutes of meetings .
Compile and prepare daily reports and progress updates for submission to all relevant parties. - Procurement & Office Administration
Liaise with the main office to ensure timely procurement of materials in line with approved technical submissions.
Order and maintain office supplies and toiletries for the site office. - Compliance & Ad Hoc Duties
Ensure compliance with MOM/BCA documentation requirements and support project-related audits.
Undertake any ad hoc duties assigned by superiors in support of project needs.
Requirements:
- Diploma in Business Administration, Engineering, or Construction-related fields.
- Priority given to candidates with construction-related experience.
- Prior experience in document control preferred.
- Proficient in Microsoft Office and familiar with document control systems and MOM/BCA processes.
- Able to handle stress and work in a fast-paced environment.
- Strong organizational skills, attention to detail, and ability to multitask independently.
