Job Summary:
We are seeking a proactive and detail-oriented Event cum Logistics Coordinator to manage the planning, coordination, and execution of events, ensuring seamless logistics and exceptional attendee experiences. This role involves collaborating with internal teams, external vendors, and clients to deliver successful events that align with our organizational goals.
Key Responsibilities:
Event Planning and Coordination:
- Assist in organizing events such as conferences, seminars, corporate event and roadshows.
- Develop event schedules, checklists, and timelines to ensure timely execution.
- Coordinate with vendors, venues, and service providers for logistics arrangements, including catering, audio-visual setups, and transportation.
- Prepare event materials like name tags, signage, and programs.
- Plan out optimal booth layouts for clients, ensuring sufficient footfall for each booth.
Logistics and On-site Support:
- Manage logistics before, during, and after events to ensure smooth operations.
- Set up event venues
- Collaborate with in-house IT or facilities teams to ensure technical arrangements are in place.
- Oversee the flow of event activities on the ground.
Administrative and Communication Support:
- Handle event-related communications, including participant invitations, registration tracking, and feedback surveys.
- Maintain records, reports, and contact databases. Support post-event evaluation and documentation processes as and when required by Client.
Requirements:
- Diploma or degree in Event Management, Logistics, Business Administration, or a related field.
- 1–3 years of experience in event coordination and logistics, preferably in Singapore.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
