This position reports to the event director and interfaces with Organisation managers and HR staff. PRODIGY SPECIAL EVENTS PTE. Specific Responsibilities

Individual to be involved in:

1. Understand clients’ needs, objectives, budget, and brand identity to conceptualize suitable event strategies.

2. Develop creative event concepts, themes, and formats tailored to each client’s goals.

3. Present event proposals and pitches to potential clients and secure project confirmations.

4. Plan and coordinate all event details including venue sourcing, catering, entertainment, AV, décor, branding, logistics, permits, and contingency planning.

5. Develop timelines, production schedules, and task allocation for vendors.

6. Liaise with third-party service providers such as venues, suppliers and contractors to ensure deliverables are met on time and within budget.

7. Prepare and manage event budgets, ensuring all costs align with financial objectives.

8. Negotiate contracts and pricing with vendors and suppliers.

9. Track expenses in real time, approve invoices, and generate final budget reconciliation reports.

10. Oversee the full execution of events on-site, ensuring every aspect runs according to plan.

11. Recruit and manage temporary staff or freelance crew for event execution

12. Supervise event staff, suppliers, crew, and vendors during setup, showtime, and teardown.

13. Manage guest experience including registration, seating, crowd control, safety protocols, and real-time troubleshooting.

14. Maintain professionalism under pressure, handling any unforeseen issues swiftly.
