The Opportunity
CIO Network Singapore office is seeking an experienced Event Operation Executive (Client Experience Specialist) to help support our event’s sponsorship needs within the operations group. This role includes handling clients and operations requirements.
This is an excellent opportunity for someone with polished customer service skills, as well as previous experience working in the events industry within an operational capacity.
Responsibilities
Reporting to the General Manager, the Event Operation Executive (Client Experience Specialist) will be responsible for, but not limited to:
- Handling sponsors’ liaison and management of their exhibition stand,
OpenGov Gamification Tables, wish lists and logistics for conferences, breakfast dialogues and training programmes
- Liaise with sponsors in the run up to the conference, making them feel confident that they are in a safe pair of hands and provide outstanding customer service throughout to ensure our clients return year on year
- You are computer literate and experienced in Word, Excel and Power Point. You will have to keep excellent control and well organised records of sponsors details – admin and project management work is crucial for this role
- Managing events budget and ensure all budgets properly filed and recorded
- Work with marketing, Sales and Sponsorship team to ensure every part of every sponsorship contract has been fulfilled, even where it affects or crosses other department
- Liaise with external providers including venues, contractors, suppliers etc. obtaining quotes, negotiating costs, selecting the provider and managing the on-going relationship
- Pre-show and on-site exhibitor/sponsor liaison and support
- On-site management of all logistics and ensure everything run smoothly
- Manage reporting for client for the digital platform
- Ensuring sponsors logo and profile is upload on the website
- Manage ad-hoc projects
Desired Skills and Experience
As an ideal candidate your background will include:
- Fresh Graduates to 3 years experience of working in an operations role in events environment
- Detailed knowledge of Operations best practice – Conferences and
Exhibitions is a plus
- Sound commercial awareness – managing budgets, and keeping
within the set budget, including contract management
- Customer service experience
- Ability to multi-task under pressure whilst maintaining accuracy and
efficiency
- Excellent time-management skills
- A ‘can do’ attitude, is a team player with initiatives
- Good negotiation skills
- IT Literate - to have the skills mentioned and be able to source and adopt new tech
- Willing to travel
- Good writing skills and phone mannerism
