Job Description
The Fleet Executive is responsible for coordinating and managing all aspects of truck and vehicle deployment to ensure smooth operations. This role requires liaising with internal teams and external vendors, managing bookings using various company systems, and providing support for driver operations. The ideal candidate is organized, proactive, and capable of handling administrative tasks while continuously seeking ways to improve team efficiency.
Key Responsibilities:
- Coordinate and manage truck bookings using AppSheet and internal company systems such as Fleetio, Cartrack, and other proprietary apps.
- Liaise with external vendors regarding truck-related orders and upcoming deliveries on a daily basis.
- Ensure all trip bookings are accurately scheduled, recorded, and tracked in company systems.
- Support driver operations, including vehicle allocation, communication, and resolving operational issues through internal apps like Fareclock, AppSheet, and Fleetio.
- Maintain deployment records, generate reports, and manage scheduling and documentation.
- Assist with night or emergency repair deployments, including being on standby as needed.
- Provide backup support during staff leaves or manpower shortages, and assist other deployment teams when required.
- Continuously identify opportunities for process improvements to increase team efficiency and operational effectiveness.
- Maintain clear and consistent communication with project and operations teams to align vehicle deployment with operational needs.
Qualifications
- Diploma or relevant certification in Logistics, Supply Chain Management, Business Administration, or related fields.
- Minimum 1 year of experience in fleet management, logistics coordination, or related roles.
- Proficient in using fleet management software and internal company systems (e.g., AppSheet, Fleetio, Cartrack).
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and handle emergency situations effectively.
- Self-motivated, proactive, and a problem-solver.
- Flexibility to support night shifts or emergency deployments when necessary.
