Purpose:
Responsible for managing and organizing the department's day-to-day functions. A team player that can perform multi-tasking and able to prioritize tasks according to importance and urgency. The incumbent shall also support the Corporate HSSE team in administrative matters as well as work closely with the Corporate HSSE Analyst.
Responsibilities:
- Data Entry/Upload: Key in Safety data in MIMS e.g. CARE Card (via MS Forms), audit reports, CAPAs, etc. - Must be keen to details and ensure the accuracy of data submitted.
- PPE Management: Manage employee request, issuance and return of Personal Protective Equipment using the online form. - Must be able to allocate and control the limited PPE stock against requests received. - Monitor the stock and inventory of PPE.
- Department Administrative Support - Organize meetings and conference room bookings. - Responsible for Department's minutes of meeting. - Update and maintain department headcount list including project assignments and work locations. - Organize department activities e.g. team building event, souvenir/item distribution, etc. - Raise Purchase Request in SAP for Corporate HSSE team. - Manage stationery supply. - Raise administrative request forms for the HOD e.g. travel, external training, expense claim, etc. - Arrange business trip for the Corporate HSSE team e.g. flight booking with authorized travel agent, hotel booking and land transport- Mantain's Department budget report. - Other ad-hoc tasks
Qualifications:
- Diploma in Engineering any-related field
- Relevant Administration certificate
- 3 years administrative experience
- knowledge of industry process and practices
Competencies:
- Microsoft Office and its relevant applications
- Incident Management Tool
- Other office-related administrative digital tools related to the job.
