About the Role
We’re looking for a reliable and detail-oriented Operations & Billing Executive to support the day-to-day coordination of logistics projects and ensure accurate billing for our fine art logistics division. You’ll work closely with our operations and finance teams to manage documentation, coordinate with clients and vendors, and make sure every shipment and invoice is handled smoothly.
This is an entry-level position ideal for someone looking to grow in a specialized industry. Full training will be provided.
Key Responsibilities
Operations Support
- Assist with the scheduling and coordination of transport, packing, and storage jobs
- Prepare and maintain job sheets, service reports, and project files
- Liaise with clients, suppliers, and internal teams to ensure smooth operations
- Track the movement of artworks and update status in system
- Support in preparing customs documentation and shipment paperwork
Billing & Administrative Tasks
- Generate invoices based on job completion and service agreements
- Cross-check billing against job sheets and client quotations
- Follow up on outstanding payments and support finance with AR tracking
- Maintain organized billing records and client accounts
- Provide general administrative support for the operations and accounts team
