Responsibilities

  • Handle inquiries via email and telephone, providing quotes and following up on potential orders.
  • Coordinate order confirmation, parts pickup, and delivery scheduling, along with generating delivery orders (DO) and invoices.
  • Communicate with vendors regarding technical issues, parts orders, and restocking.
  • Manage incoming parts shipments, including posting and stocking inventory and fulfilling outstanding customer orders.
  • Prepare export documents, coordinate with forwarding agents for oversee as shipments, and update customers on shipment schedules.
  • Assist in issuing quotations to customers and coordinating part deliveries to meet customer needs.
  • Resolve order delays or issues internally to maintain order schedules.
  • Collaborate with vendors, customers, and warehouse staff to schedule and coordinate part deliveries.
  • Regularly follow up on open or outstanding orders with suppliers
  • Check and verify prices, discounts, and surcharges on orders and invoices.
  • Convert planned orders to purchase requisitions and purchase orders.
  • Work with the Service Department with the necessary parts and supplies, including the arrangement of the delivery of spare parts.
  • Ensure all order-related documents are stored in the ERP system for annual audits.
  • Verify vendors' billing and submit to Finance department.
  • Collaborate closely with internal departments to ensure smooth operations.
  • Perform ad-hoc tasks as assigned.

Skills and Requirements

  • Minimum Qualification Level: Polytechnic Diploma
  • Field of Study: Operations/Logistics Management
  • Valid Driver's License is a plus
