Responsibilities
- Handle inquiries via email and telephone, providing quotes and following up on potential orders.
- Coordinate order confirmation, parts pickup, and delivery scheduling, along with generating delivery orders (DO) and invoices.
- Communicate with vendors regarding technical issues, parts orders, and restocking.
- Manage incoming parts shipments, including posting and stocking inventory and fulfilling outstanding customer orders.
- Prepare export documents, coordinate with forwarding agents for oversee as shipments, and update customers on shipment schedules.
- Assist in issuing quotations to customers and coordinating part deliveries to meet customer needs.
- Resolve order delays or issues internally to maintain order schedules.
- Collaborate with vendors, customers, and warehouse staff to schedule and coordinate part deliveries.
- Regularly follow up on open or outstanding orders with suppliers
- Check and verify prices, discounts, and surcharges on orders and invoices.
- Convert planned orders to purchase requisitions and purchase orders.
- Work with the Service Department with the necessary parts and supplies, including the arrangement of the delivery of spare parts.
- Ensure all order-related documents are stored in the ERP system for annual audits.
- Verify vendors' billing and submit to Finance department.
- Collaborate closely with internal departments to ensure smooth operations.
- Perform ad-hoc tasks as assigned.
Skills and Requirements
- Minimum Qualification Level: Polytechnic Diploma
- Field of Study: Operations/Logistics Management
- Valid Driver's License is a plus
