This role provides essential support to the Project Management Office (PMO) for a major greenfield facility development project. This role ensures smooth coordination across multiple workstreams, including building construction, equipment transfer, operations transition, and digital transformation. The individual will be responsible for managing project schedules, preparing presentation materials, coordinating meetings, and maintaining organized documentation—playing a key role in keeping the complex project on track and aligned across stakeholders.
Responsibilities -
- Assist the PMO and project leads in maintaining integrated project timelines, tracking progress across building, transition, and smart factory workstreams.
- Prepare and format high-quality presentation decks and reports for project reviews, stakeholder updates, and steering committee meetings.
- Coordinate logistics and scheduling for key project meetings, workshops, and reviews (both virtual and on-site).
- Consolidate updates and inputs from workstream leads and compile into status trackers, project dashboards, and communication briefs.
- Track action items, deliverables, and decisions from meetings, ensuring timely follow-up and accountability.
- Maintain project documentation, including SORs (Statement of Requirements), project charters, risk registers, and decision logs.
- Support onboarding of new team members, vendors, or contractors to the project, including access, orientation, and documentation sharing.
- Facilitate collaboration between project team members, functional groups (e.g., Facilities, Operations, IT), and external partners.
- Monitor changes to plans and support change control processes as required.
- Support ad-hoc administrative and coordination tasks as assigned by the PMO leadership.
Requirements / Competencies -
- Bachelor's degree in Business Administration, Project Management, Engineering, or a related field.
- At least 8 years of experience in a project support or administrative coordination role, ideally in a manufacturing, industrial, or construction project.
- Strong proficiency in Microsoft Office Suite, particularly PowerPoint, Excel, and Outlook; experience with MS Project, Smartsheet, or equivalent tools is a plus.
- Exceptional organizational and time-management skills with attention to detail.
- Strong interpersonal and written communication skills for engaging with cross-functional stakeholders.
- Ability to manage multiple priorities in a fast-paced, evolving project environment.
- High level of discretion, professionalism, and reliability.
- Exposure to greenfield facility projects or capital-intensive industrial projects (manufacturing, aerospace, etc.).
- Familiarity with project management frameworks or tools (e.g., Agile, Waterfall, Jira, Confluence).
- Comfortable working in a cross-cultural, multi-stakeholder environment with global counterparts.
- Interest or experience in smart factory or digital transformation initiatives is a plus.
