Key Responsibilities:
- Provide comprehensive administrative and secretarial support to the Nursing Lead and her office – including calendar management, meeting coordination, report preparation, drafting correspondence, records management, and project support.
- Foster effective relationships with internal and external stakeholders to ensure smooth scheduling and issue resolution, while maintaining professionalism and efficiency.
- Manage the calendars of the Nursing Lead and co-leads – coordinating meetings, travel, accommodations, and events. Anticipate potential conflicts and make sound recommendations for optimal scheduling.
- Plan and coordinate meetings, workshops, and events related to hospital and clinical service planning. Prepare agendas, presentation materials, and minutes, and monitor follow-ups to ensure progress.
- Draft and finalize correspondence and communication materials for dissemination both internally and externally.
- Support the Nursing Lead’s organizational leadership through various administrative tasks, including preparation of documents, reports, presentations, and information gathering for key meetings.
- Use sound judgment to escalate sensitive issues or concerns appropriately, keeping stakeholder dynamics in mind.
- Ensure guests and visitors receive warm, professional hospitality.
- Collaborate with the Nursing Lead and management to design engagement initiatives for the nursing team.
- Facilitate onboarding for new nursing staff – arrange workspace setups, conduct orientation sessions, and ensure access to systems and necessary tools.
- Work closely with the program office to plan and execute meetings, events, and departmental initiatives.
- Provide backup support for the project program office as needed.
- Carry out other responsibilities as assigned.
Requirements:
Skills & Knowledge:
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
- Tech-savvy with the ability to quickly learn and adapt to new software and platforms.
- Excellent command of written and spoken English.

Educational Qualifications:
- Diploma or Bachelor's degree in any field. Minimum of 3 years of relevant experience, ideally within a hospital or healthcare setting.
