Job Description
Assistant PM/ Project Coordinator
To assist the Newbuild & Projects Manager and the Group Head of Technical and Operations
Major Responsibilities
Prepare, maintain and communicate project plans, manuals, handover to operations and close out reports to key project stakeholders.
Maintain project schedule, including leading regular schedule reviews to ensure all tasks are completed in a timely manner.
Maintain and report against project budgets. Prepare draft contract variations and maintain and update project variations lists.
Maintain documentation in accordance with SharePoint Structure. Work to adhere to robust project management principles.
Provide general coordination support to all areas of business development as needed e.g. during tender submission, specification review, ship inspections etc.
Execution of sub - projects under direction from Group Head or Project Manager e.g. responsible for day-to-day oversight of third-party construction managers
Handle technical queries including liaising with necessary subject matter expertise, and 3rd Party Supervision providers
Provide support to the Project team with implementation and maintenance of project controls:
Preparation of monthly reports to be issued to Business Unit, Partners and Charterers.
Prepare and issue meeting minutes and conference call records.
Maintenance and update of project Sharepoint sites for Newbuild Projects.
Review, action and communicate messages within the project email accounts.
Management of 3rd Party Supervision and Plan Approval providers
Maintain risk management tools. Organize and lead regular risk reviews.
Monitor procurement of OFE to ensure on time delivery to yard.
Job Requirement
Requirements, Knowledge, Skills
Minimum 3-4 years of project coordination/management or related experience. Large capital projects in marine industry preferred.
Able to read and understand contract and technical documents including drawings and specifications.
Knowledge and experience in project controls such as scheduling, budgeting.
Proven analytical and problem-solving abilities.
Proactive and takes initiative
Excellent verbal and written communication skills.
Excellent organizational and time management abilities.
Experience working in multinational teams of employees and contractors.
Demonstrates teamwork and interpersonal skills.
Ability to respond positively to customers in an effective manner.
Proficient in Microsoft Office applications.
