Main responsibilities:
- Supervision and Oversight: Responsible for the overall supervision and management of the dormitory. This includes overseeing day-to-day operations and ensuring that the facility runs smoothly.
- Resident Support: Providing support and assistance to residents is a key responsibility. This may involve addressing resident concerns, providing information about dormitory rules and policies, and helping to create a positive living environment.
- Safety and Security: Ensuring the safety and security of residents is paramount. This includes implementing security measures, responding to emergencies, and working with campus or facility security personnel when necessary.
- Maintenance and Upkeep: Responsible for coordinating and overseeing maintenance and repair activities within the dormitory. This includes addressing maintenance requests, conducting regular inspections, and ensuring a clean and well-maintained environment.
- Budget Management: Managing the budget for the dormitory is a critical responsibility. This involves tracking expenses, making budget recommendations, and ensuring that the dormitory operates within budgetary constraints.
- Enforcement of Policies: Enforcing dormitory rules and policies is essential for maintaining order and ensuring a safe and comfortable living environment – communicating and enforcing these rules effectively.
- Resident/Client Engagement: Promoting a sense of community and engagement among residents/clients is often part of the role. This may involve organizing social events, educational programs, and activities to foster a sense of belonging.
- Conflict Resolution: Addressing conflicts and disputes among residents, and helping to mediate and resolve them, is a key responsibility, and may also be involved in disciplinary actions when necessary.
- Administrative Tasks: Completing various administrative tasks, such as record-keeping, managing resident databases, and handling paperwork related to resident applications and check-in/check-out processes.
- Report Submission: Ensuring all relevant reports and document submissions are submitted in accurately and in a timely manner.
- Collaboration: Collaborating with other departments and personnel, such as Government bodies, NGOs, maintenance teams, and vendors to ensure the smooth operation of the dormitory.
- Emergency Response: Being prepared to respond to emergencies, such as fires, natural disasters, or medical incidents, and coordinating evacuation and response procedures as needed.
- Individual Development Programme: Dormitory managers are involved in the personal and academic development of their subordinates, providing guidance and resources to support their well-being, upskilling and success.
- Reporting: Providing regular reports to higher-level administrators or supervisors (Operations Manager/Director) regarding dormitory operations, budget status, and any issues that require attention
- Compliance: Ensuring that the dormitory complies with all relevant laws, regulations, and codes, as well as any specific policies set by the organization
- Finding solutions to operational challenges and making improvements
- Staying informed about changes in regulations that may affect dormitory operations
- Contributing to the long-term planning and development of the dormitory, including potential expansion or renovation projects
- Any other tasks or duties as assigned by Operations Manager/Director
Requirements:
- Degree or minimum Diploma in Facilities Management, Hospitality, Business Administration, or a related field
- Minimum 5 years of relevant working experience in dormitory operations, facilities management, or similar roles
- Strong command of spoken and written English
- Good computer literacy and proficient in Microsoft Office applications
- Excellent communication and interpersonal skills
- Strong leadership and conflict resolution capabilities
- Highly organized with strong attention to detail
- Ability to multi-task and perform under pressure in a fast-paced environment
- Familiar with local regulatory requirements, including MOM, FEDA, and other dormitory-related compliance standards
- Certifications (preferred):
- SIFMA Certified Facilities Management Expert (CFME) Tier 3
- Certifications in Mechanical & Electrical (M&E), Facility Management, Fire Safety or Workplace Safety and Health
