Reports to: Senior Executive
Role Summary
Provide day-to-day, non-medical home care and household coordination while also delivering basic office administration and personal/executive assistant support. The role requires discretion, maturity, and the ability to anticipate needs in both home and office settings.
Key Responsibilities
A) Personal & Home Care (Non-medical)
- Support daily routines (wake/sleep schedule, simple meal prep/coordination, light exercise supervision, medication reminders per instructions).
- Arrange and accompany to appointments (medical, personal), manage bookings and transport.
- Monitor comfort and safety at home; coordinate with service providers as needed.
- Maintain a tidy, organized living environment; oversee laundry and household supplies.
B) Household & Logistics Management
- Vendor and contractor coordination (cleaning, maintenance, deliveries), basic inventory tracking.
- Plan small in-home gatherings/meetings.
- Discreet handling of personal errands, with receipts and simple expense logs.
C) Office Administration & EA Support
- Manage calendars, schedule meetings, and coordinate travel (flights, hotels, cars, visas).
- Prepare meeting packs, notes, and follow-up action trackers; maintain office files (digital & hardcopy).
- Draft emails/letters, screen calls/messages, and liaise with internal teams and selected external partners.
D) Communications & Confidentiality
- Handle sensitive information with absolute discretion; ensure privacy protocols are followed.
- Act as a professional, courteous point of contact for VIP visitors and family members.
Work Arrangement
- Live-in with a private room (and agreed facilities).
- Generally a 6 day work week with flexible hours; occasional evenings/weekends based on the Chairman’s schedule (time off in lieu by arrangement).
- Domestic and international travel may be required.
Qualifications & Experience
Must-haves:
- 3+ years in a PA/EA, private household PA, concierge, or similar role supporting a senior executive or family office.
- Experience coordinating appointments, travel, and vendors; strong organization and follow-through.
- Proficiency with MS Office, calendar/email tools, WhatsApp/WeChat.
- High integrity, service mindset, and excellent interpersonal skills.
- Basic first-aid knowledge; willingness to obtain First Aid/CPR certification if not already held.
Nice-to-haves:
- Prior exposure to non-medical caregiving for seniors or executives with specific routines.
- Valid driving licence in Singapore.
- Ability to communicate with Mandarin-speaking stakeholders and read basic Chinese documents (role involves handling calls/messages and documents that may be in Mandarin).
Note on languages: Any language requirement is strictly to perform job duties (e.g., liaising with Mandarin-speaking vendors/family and reading documents provided in Mandarin).
