Job Summary:

As a Management Associate supporting the Group CEO , you will provide strategic, operational, and administrative support to ensure seamless execution of the CEO’s responsibilities. Based in Singapore with frequent international travel , this position demands a proactive, resourceful, and highly organized professional who thrives in fast-paced, high-stakes environments.
Responsibilities:
1. Executive Support
- Serve as the primary point of contact and trusted advisor to the Group CEO for all administrative and coordination matters.
- Manage complex calendars, schedules, and engagements across time zones.
- Prepare meeting materials, agendas, minutes, and ensure the CEO is briefed and well-prepared.
- Draft, edit, and review high-quality correspondence, presentations, and reports.
- Liaise with internal teams and external stakeholders, ensuring timely follow-ups and clear communication.
- Exercise sound judgment and absolute confidentiality in handling sensitive business matters.
2. Travel & Engagement Coordination
- Plan and coordinate all aspects of domestic and international travel, including flights, accommodation, visas, and ground transport.
- Build and manage detailed itineraries across multiple locations and time zones.
- Provide real-time support during business trips; accompany the CEO to selected engagements when necessary.
- Represent the CEO professionally at events or meetings when delegated.
3. Project & Operational Support
- Monitor and follow up on action items, deadlines, and progress across multiple strategic projects.
- Develop and maintain efficient systems to track deliverables and improve workflow.
- Manage document organization, file systems, and operational records.
- Take ownership of ad hoc assignments and contribute to problem-solving and decision-making processes.
4. Flexibility & Responsiveness
- Highly responsive and adaptable to flexible working hours, including occasional evenings or weekends. Demonstrate agility in managing urgent or shifting priorities across different time zones.
Requirements:
Education & Experience
- Bachelor’s degree in Computer Science, Information Technology, Business Administration, or a related field.
- Minimum of 3 years' experience in executive support, project coordination, or strategic business roles.
- Prior exposure to C-suite environments is highly desirable.
Language Proficiency
- Full professional proficiency in both English and Mandarin (spoken and written) to communicate with Chinese stakeholders.
- Cantonese language skills are a strong advantage, especially for interactions with the Hong Kong office.
