Responsibilities
Team Management
- Lead in Organisational Planning, Budgeting and Forecasting
- Plan, budget and forecast resource needs and make effective decisions on resource allocation so that productivity is maximised
- Organize and coordinate documentation deliverables e.g. MSRA, DARs, Monthly Progress Report, etc. among local teams, overseas teams and sub-contractors to meet customers deliverables
- Provide management information on the status of project documentation by maintaining CDRL Tracker and Letter Receipt / Sent Tracker
Delivery
- Editing, formatting and publishing of all documentation into project template.
- Maintain Configuration control for all document deliverables.
- Provide audit trail for Project and Product documentation.
- Control and issue of reviewed documentation.
- Create, issue and progress document transmittals to customer and between project teams.
- Collate Design approval request and submission deliverables.
- Maintain document change control and quality control procedures.
- Distribute the Decision Sheet from customer on documents to respective staff.
- Coordinate Project Admin for admin related tasks.
- Support and provide guidance to staff on the use of the records management system and the relevant recordkeeping responsibilities;
- Serve as the custodian of all deliverables transmitted and monitor/report of deliverables status.
- Lead the monitoring and tracking of document status.
- Ensures compliance with company and legal document management requirements.
- Provides training to staff on document control procedures.
- Resolves document control issues and conflicts.
- Archives and disposing of outdated documents.
- Manages document revisions and ensuring the latest version is available.
- Maintains document control database and files.
- Coordinates document review and approval processes.
Requirements
- Diploma in any relevant discipline with 2 years of experience as document controller in similar field
- Excellent communication and coordination skill is a must
- Must be agile, innovative, team player, willing to work with tight timeline
- Proficient in MS suite
- Knowledge in ClearQuest and ready to master new tools
- Attention to details is essential
- Good presentation, communication and interpersonal skills
- Ability to lead a team with good planning and communication with different stakeholders
- Good team player with drive and initiative
- Able to work under pressure and tight deadlines
- Excellent organizational and time management skills
