1. Programme Support and Coordination
- Provide day-to-day support to the programme teams in the planning, coordination, and implementation of mentoring sessions and activities.
- Assist in scheduling sessions, liaising with community partners, mentors, and mentees.
- Manage programme materials, logistics, and follow-up actions.
2. Monitoring and Tracking Progress
- Maintain up-to-date records of mentor and mentee engagement, attendance, and progress.
- Support the collation, analysis, and presentation of programme data to inform decision-making.
- Assist in gathering feedback from mentees/mentors to assess programme effectiveness.
3. Finance and Administration
- Provide administrative support related to programme budgeting and expenditure.
- Track and process programme-related expenses, ensuring accuracy and timely submissions.
- Assist in financial documentation for reporting and auditing purposes.
4. Process Improvement
- Support the development and refinement of systems and tools to monitor programme implementation and outcomes.
- Contribute to the streamlining of internal processes to enhance efficiency and quality.
- Work collaboratively with other team members to document best practices and learnings.
Strategy & Coordination
4. Strategic Planning Support:
- Coordinate development and implementation of strategic plans to advance Beautiful People's (BP) mission and vision.
- Collaborate closely with other team members to ensure alignment with BP's long-term goals.
- Continuously assess and refine strategies to enhance BP's impact
5. Implementation Coordination:
- Coordinate the execution of strategic initiatives across different departments within BP.
- Monitor progress and provide support to ensure effective implementation of plans.
- Identify and address any barriers or challenges to successful execution
6. Team Coordination:
- Support the team of office staff members.
- Provide guidance and mentorship to foster professional growth and development.
- Coordinate weekly team huddles to facilitate communication and collaboration.
7. Communication Streamlining:
- Implement efficient communication channels and protocols within the office team.
- Ensure clear and effective communication of organisational goals and priorities.
- Facilitate cross-departmental communication to promote teamwork and synergy. Be the main point of contact liaising between Office and Exco/Board.
Requirements:
- Programme Coordination Skills: Able to plan, coordinate, and support mentoring sessions and activities with strong logistical and organisational ability.
- Monitoring & Evaluation: Capable of tracking engagement, maintaining accurate records, analysing data, and gathering feedback to improve programme outcomes.
- Strategic Thinking & Implementation : Able to support strategic planning, coordinate initiatives across departments, and ensure alignment with organisational goals.
- Process & Systems Improvement: Proactive in streamlining internal processes, improving efficiency, and documenting best practices.
- Team Coordination & Leadership : Comfortable guiding team members, facilitating meetings, and fostering professional growth and collaboration.
- Strong Communication Skills: Effective in internal and external communication, with the ability to liaise across teams and act as the bridge to Exco/Board.
