Vita Partners is Asia-Pacific’s largest pan-regional pure-play life science, innovation and R&D real estate platform, backed by an Australian headquartered multinational real estate company and leading US private equity growth investor. The platform focuses on investing, acquiring, developing, constructing, managing, and operating real estate projects in fast-growing life sciences, innovation and R&D real estate markets in Asia-Pacific. The company operates within two main segments – a high-barrier-to-entry life sciences project construction management business and a specialized investment management business. Since the 2000s, the project construction management business has worked on over 200 projects in Asia-Pacific for more than 100 blue-chip life sciences and pharmaceutical companies, with many repeat clients. The investment management business currently manages ~SGD 2 billion of AUM on behalf of institutional investors, with strong aspirations for growth within the region.
Role Purpose:
This is a 6-month contract role, responsible for assisting Senior Property Executive, Procurement, with property operations functions, including operating through Yardi system and general property management administrative work.
Key Accountabilities:
Purchasing, Procurement and Contract Management
This role will support data entry, collation of documents and other related works through Yardi system, to support purchasing and procuring goods and services as well as administering the contracts to deliver high standards of services.
- Perform purchaser’s duty including sourcing and negotiations with reliable and reputable vendors / suppliers / utilities providers;
- Prepare tender documents, budgets, calling of quotations, evaluation of bid proposals including undertaking cost comparisons and preparing recommendation of awards for contractors / vendors;
- Prepare and issue Services Contracts / Purchase Orders / Work Orders / Letter of Award in a timely manner;
- Manage daily procurement and contract administration requirements;
- Prepare evaluations and recommendations for approval of Variation Orders
- Certify & settle sub-contractor / vendors’ payments claims & final accounts,
- Ensure the term contracts are renewed and bulk tenders are called in timely manner;
- Maintain and update the procurement database;
- Monitor costs against budget;
- Work closely with the Property Management department on the procurement of goods and services required;
- Liaise closely with Finance for the monthly closing;
- Work closely with the project teams and relevant business partners to ensure successful delivery of project objectives;
- Assist Management in all contractual and costing matters;
- Prepare and submit regular reports as required by the Business; and
- Undertake any other ad hoc duties as assigned by the management
General Administration for Assets
This role will support the property management teams across assets, and may be required to liaise with between contractors and the property management teams to address tenancy and common area issues and execute plans to improve operations.
Job Requirements
- Degree or Diploma in quantity surveying, procurement, supply chain management, estate management, building, engineering, mechanical or related discipline
- Strong experience in purchasing and procurement, with a minimum 3 years of experience;
- 3 years of strong building operations and technical experience with risk management focus in managing facilities and M&E systems;
- Excellent stakeholder management;
- Experience with innovative solutions and technologies in assets is an advantage;
- Experience in using Yardi is an advantage; and
- Experience in asset planning and management is an advantage.
