Key Responsibilities:
- Deliver comprehensive administrative and secretarial support to the Head of Clinical Operations and the broader team — including scheduling, drafting correspondence, managing records, handling enquiries, and preparing reports.
- Coordinate onboarding for new hires in the department, liaising with the programme office to organize orientation sessions, system access, workspace setup, and required documentation.
- Manage departmental assets such as office supplies, IT equipment, and furniture – including inventory tracking, ordering, installation coordination, and maintenance scheduling.
- Assist with budgeting tasks, including monitoring departmental expenses and processing invoices.
- Oversee calendar and meeting management – booking venues and AV equipment, organizing schedules, and maintaining shared resources.
- Support the planning and execution of meetings, workshops, and events with both internal and external stakeholders. Prepare agendas, take minutes, and track follow-up actions.
- Undertake any additional duties as required by the department.
Requirements:
- Diploma in any field, with a minimum of 5 years of relevant experience – preferably within a hospital or healthcare setting.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent communication, writing, analytical, and presentation skills.
- Able to work independently with minimal supervision, while also being a strong team player across departments.
- Highly organized with keen attention to detail and the ability to prioritize and manage multiple tasks efficiently.
- Comfortable working in a fast-paced, evolving environment. Self-motivated, adaptable, and solution-oriented.
