Operations :
- Handle the budget, operations and production of multiple events, in different geographical locations from start to end.
- Liaise and negotiate with stakeholders (from different geographical locations) for quotations and procurement.
- Conduct site inspections and measurements.
- Apply for all licenses and permits required with relevant authorities.
- Prepare pre-event planning documents and coordinate with all stakeholders (not limited to suppliers, contractors and venue owners) to facilitate a smooth pre-event setup.
- Plan and source for the necessary resources to support the pre-event planning, on-site event execution and coordination to support the delivery of a successful event.
- Conduct pre-event and on-site quality control on all event production matters and deliverables by relevant stakeholders.
- Provide on-site operational support and manpower management.
- Supervise and manage all event setup to facilitate the delivery of a high quality event.
- Manage the transportation, delivery and proper accounting of all equipment and event assets.
- Manage and coordinate post-event teardown matters, including the reinstatement/return of venue to its original state.
Client Servicing:
- Lead the team in the development of proposals, sourcing and preparation of quotations.
- Work closely and cohesively with Account Servicing team to ensure concepts and proposals approved by clients are turned into reality.
- Follow up timely with requests from clients on the enhancement of proposals.
- Taking and preparation of minutes during meetings and presentations, and assisting with other administrative duties as required. Guide and work cohesively with team members to collectively produce a successful event.
Requirements :
- Candidates must be a team player and possess the ability to work independently with minimal supervision.
- Candidates must be savvy with event operations and production matters (not limited to Audio-Visual & Lighting, fabrication and IT) and possess the ability to create and manage trackers diligently.
- Candidate must be a good communicator, negotiator and is able to articulate ideas effectively.
- Candidate must possess at least a Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree in Event Management, or equivalent.
- Candidate should have a good command of English Language (written & spoken).
- Required skill(s): Google Suite (Slides / Sheets / Docs).
- Knowledge in Adobe Photoshop/Illustrator or AutoCad would be an advantage.
- Prior experience in Event Operations and Client Servicing is required for this position.
- Prior experience in executing events in different geographical locations would be an advantage.
- Minimum of 5-6 years working experience in Event Operations and Client Servicing (e.g. Live events, Conference and Exhibition) is required for this position.
- Preferably Event managers specializing in Events Management or equivalent.
- Flexibility to travel (as needed) for client meetings and events.
