Job Summary:
The Student Hostel Executive is responsible for the efficient and safe management of a student hostel, ensuring a secure, clean, and supportive living environment for residents. In addition to operational duties, the executive plays a key role in supporting students' academic routines, including monitoring self-study sessions and administering vocabulary and mock tests to encourage academic discipline and progress.
Key Responsibilities:
1. Hostel Operations
- Manage daily hostel operations including front desk, housekeeping, security, and maintenance.
- Ensure hostel facilities (rooms, study areas, common areas) are clean, functional, and safe.
- Oversee student check-in/check-out and room allocation processes.
2. Student Welfare & Discipline
- Act as the first point of contact for student residents regarding concerns, disputes, or emergencies.
- Foster a positive, inclusive, and respectful hostel community.
- Enforce hostel rules and regulations fairly and consistently.
- Address disciplinary issues and escalate serious matters to school authorities or parents when necessary.
3. Academic Support
- Supervise and monitor students during self-study sessions to ensure focus and discipline.
- Administer and assess regular vocabulary tests and mock exams as per academic schedule or curriculum plan.
- Maintain records of academic progress, test results, and participation in study sessions.
- Coordinate with teachers, tuition providers, or academic counselors to support student learning goals.
4. Staff Supervision
- Recruit, train, and supervise hostel staff (cleaners, maintenance, security, etc.).
- Manage staff schedules and ensure service quality standards are met.
5. Safety & Compliance
- Ensure compliance with health, safety, and fire regulations.
- Maintain updated records of student residents for regulatory and emergency purposes.
6. Student Engagement
- Organize and support student activities that promote well-being, social integration, and cultural awareness.
- Facilitate orientation and onboarding for new students.
7. Administrative Duties
- Manage hostel budgets, petty cash, and procurement of supplies.
- Handle billing, invoicing, and deposit refunds in coordination with the finance department.
- Prepare reports on hostel occupancy, maintenance issues, and student-related incidents.
Requirements:
- Experience in hostel, dormitory, student care, or education-related environment.
- Strong interpersonal skills with a caring and supportive approach to youth and young adults.
- Excellent communication in English and Mandarin
- Strong interest or background in academic support, education, or tutoring.
- Good organizational and problem-solving skills.
- Ability to handle emergencies calmly and efficiently.
- Willingness to work evenings (4pm to 10.30pm)and weekends, including academic supervision, off on 2 weekdays
- Can choose to stay in (preferred) / stay out
