The Faculty Administration and Support department at INSEAD is responsible for managing academic operations and supporting faculty members by facilitating course planning and organizing teaching resources. It plays a key role in promoting academic excellence by supporting research initiatives and the professional development of faculty members.
INSEAD is seeking an Associate Director, Faculty Support to join our Faculty Administration and Support Department. This is a full-time, permanent position based at our Asia campus in Singapore. A hybrid working model is in place – 3 days on campus, 2 days from home.

Reporting to the Executive Director, Faculty Administration and Support, you will lead and manage a global team dedicated to delivering high-quality administrative and operational support to faculty members. You will be responsible for ensuring the effective organization, delivery, and continuous improvement of faculty services. By guiding and empowering area managers, you will foster a culture of excellence, collaboration, and service.
Your role within the team
Global Team Management and Payroll
- Global Team Coordination:
- Manage a cross-campus team (France and Singapore), ensuring seamless communication, task alignment, and policy consistency across locations.
- Payroll and Overload Payment Administration:
- Lead and control the preparation and processing of payroll and overload payments for faculty across all campuses.
- Faculty-specific Payroll Support:
- Primary lead for Singapore and Abu Dhabi faculty payroll and overload management.
- Act as backup payroll coordinator for France and North America faculty.
Faculty Credits and Workload Management
- MTL Forms Coordination:
- Oversee the management and timely submission of MTL forms for SGP and ABD faculty.
- Credits Allocation and Entry:
- Collaborate with the Dean of Faculty (DoF) and Dean of Research (DoR) at the beginning of each academic year to allocate teaching credits for global faculty.
- Responsible for entering credits for global faculty in Peoplesoft.
Onboarding, Relocation and Immigration
- Onboarding Coordination:
- Liaise with HR and internal teams to coordinate faculty onboarding, including relocation arrangements and distribution of welcome packs – working alongside a team member.
- Immigration and Relocation:
- Manage immigration processes in alignment with institutional policies, ensuring full compliance and timely execution.
- Oversee the end-to-end relocation process for all new and transferring faculty, including coordination of inter-campus transfers.
- Currently supporting faculty relocation efforts in Abu Dhabi in collaboration with the HR team.
Financial Operations
- Financial Year-End Closing:
- Coordinate year-end financial closing activities for SGP and ABD faculty, ensuring accurate and timely reporting.
Leave Management
- Maternity, Paternity & Sick Leave:
- Monitor and manage faculty leave, provide policy information, and update credit allocations in PeopleSoft accordingly.
- Communication in Sensitive Situations: Oversee official communication protocols and support in cases such as bereavement.
Governance and Strategic Support
- Faculty Activity Report (FAR) Process Leadership and Support for CAC
- Lead the annual Faculty Activity Report (FAR) process, ensuring faculty submissions and evaluations are completed on schedule.
- Prepare and maintain CAC meeting minutes.
Salary Letters Preparation
- Support the Dean of Faculty during the annual faculty salary review process by preparing salary letters for faculty (globally), working alongside a team member.
Faculty Engagement and Recruiting
- Manage a global team supporting recruitment logistics, including candidate engagement and providing detailed briefings on INSEAD's administrative structure and processes.
Event Planning
- Organize and coordinate faculty events in Singapore.
Attestation Letters/Visa Letters/Any Other Official Letters
- Prepare and coordinate attestation and visa support letters for faculty and candidates as required for immigration processes.
Faculty Handbook Updates
- Update the Faculty Handbook with changes and amendments, in collaboration with the Dean of Faculty.
The ideal candidate profile
- Bachelor’s degree in any discipline; a postgraduate qualification is an advantage.
- Minimum of 8 years of experience in administrative and team management roles, preferably in an international or academic environment.
- Proven experience in leading and supervising diverse teams across multiple locations.
- Strong interpersonal and communication skills, with the ability to engage effectively with stakeholders at all levels.
- Demonstrated ability to think strategically, drive operational excellence, and lead change initiatives.
- Able to challenge your team to continuously innovate and find new ways to meet evolving client needs, balancing service excellence with operational efficiency.
- Proven ability to lead team to deliver high-quality work and meet the organization’s standards of professionalism.
