Job Description:
General Description: The Commercial Distribution & Operations manager plays an active role in ensuring excellence in inventory management and movement is delivered in the JAPAC Region through efficient and effective receipt, inventory management and order and return fulfillment management.
You will manage the order to cash process including sales order processing, customer master data maintenance and credit management to ensure on-time order entry to support customer invoicing and reconciliation.
You are a hands-on person with a strong work ethic and experience working with 3rd party logistics providers within a GMP / GDP environment and have experience in warehouse and distribution operations.
You have strong communication skills to be a key player within a collaborative team.
In this position you will manage product receipt, and the order to cash process inclusive of order fulfilment, reverse logistics for Southeast Asia Region
You will design and improve operational processes to optimize efficiency and performance.
Essential Functions of the job:
Regional Product Transaction processing
• Liaise with global logistics and trade compliance and LSP to track inbound deliveries to ensure on time and accurate goods receipt in the inventory management system.
• Process LSP customer transactions including sales orders and credits for returns to ensure at least a weekly mirroring of internal inventory management system and billing capability
Inventory System Set up and Maintenance
• Liaise with regional planner, accounting and commercial for LSP credit management process
• Support customer master data set up e.g. wholesalers, compounders, buying groups, hospitals, pharmacies, pre-reimbursement program set up to support commercial supply, and liaise with commercial, medical and accounting to enable supply and return transactions, inclusive of ‘ship to’, ‘sold to’, sales order type, and selling price.
• Support 4PL/external partners set up in SAP to enable PO placement readiness
Inventory Monitoring
• Liaise with accounting and the LSP to retrieve proof of delivery documents for end of month accounting purposes
• Perform reconciliation at the end of each month of LSP inventory transactions and inventory holding and compare to internal inventory management system holdings and transactions and investigate and rectify discrepancies and share with regional planning and quality where required.
• Liaise with accounting, LSP and quality to coordinate annual stock count, reporting and discrepancy process
Operational Compliance and Accuracy:
• Ensure OTC compliance with industry regulations and company policies
• Maintain accurate and complete records of reports and communications that support and validate transactions.
• Provide timely and accurate support for internal/external reviews audit processes.
Establishment and management of in region warehouse and distribution needs, and in-country product launch and variation set up:
• Support new distributor / LSP integrations as needed
• Manage LSP warehouse and distribution budget where required
• Be point of contact for 3PL operations including warehousing and transportation concerns, reverse logistics and local relabeling / redressing operations where required
• Support serialization implementation
• Liaise with local launch teams and regional planner to support product launch and variation management
• Liaise with global logistics and trade compliance to support in country customs and freight services, oversee product issue and product receipt, and liaise with accounting to meet required reporting standards
Warehouse performance and compliance management:
• Manage and assess logistics vendor’s performance and monitor reports on operational metrics (KPIs), including regulatory reporting requirements related to local warehousing, distribution and import activities
•Ensure the requirements and business processes associated with goods are efficient and compliant with local regulations
Root Cause Analysis and Process improvements
• Maintain metrics and analyze data to implement process improvements.
• Lead and assist in the creation and improvements of Standard Operating Procedures and Policies
• Coordinate with quality team on product complaints/deviations/CAPAs for incidents that occur during local warehousing/distribution/importation
Commercial Operations
• Sales and CRM data integration and system governance to provide meaningful reports
• Support sales incentive calculation and generation
• Tender Management where applicable
• Other commercial operations support - Being flexible to take on other assigned tasks and activities, when necessary
Qualification Required:
Competencies:
•5+ years progressive experience in Supply Chain and / or Commercial Operations within the biotech/pharmaceutical industry. A minimum of 3 years in logistics / Commercial operations or customer service role
•SAP Proficiency
•Understanding of global pharmaceutical regulatory requirements, GMP and GDP would be preferred
•Experience working in a global, complex supply chain organization within the biopharma or pharmaceutical industry
•Strong ability to collaborate and build strategic relationships with internal (Quality, Commercial, Finance, etc.) as well as external (CMO, customs brokers etc.) stakeholders
•Understanding of export/import requirements and customs practices
•Strong experience with initiating and leading process improvements
•Fluent in English
•Proficiency in excel
