City Wealth is looking for a professional and responsible Executive Assistant to support the Director with daily administrative duties and personal tasks. The primary responsibility of this role is to manage the company’s human resources and administrative work. The successful candidate will assist the Director and their family with company matters, personal tasks, and administrative duties. This position requires high levels of confidentiality and accountability and will require collaboration with both internal and external parties.
Key Responsibilities:
Primarily responsible for managing the company’s human resources and administrative duties, including employee management, recruitment, attendance, payroll, and benefits administration.
- Handle communication with the company’s corporate secretary to ensure smooth company administration, manage legal documents, and follow up on contracts.
- Provide assistance with personal matters for the Director and their family in Singapore, including visa renewals, managing living arrangements (coordinating with agents and handling housing matters), and other personal tasks.
- Provide administrative support and manage daily tasks for the Director, including document organization, email management, meeting minutes, and report preparation.
- Assist in organizing internal and external company events to ensure efficient administrative operations. Complete other ad-hoc tasks as assigned by the Director.
Requirements:
- Diploma or above, with basic knowledge of human resources and administration, along with relevant work experience.
- Strong organizational skills, with the ability to work efficiently under pressure.
- Excellent communication and interpersonal skills, able to communicate effectively with the Director, team members, and external partners.
- Familiarity with Singapore’s relevant legal and administrative processes, able to provide professional administrative support for the Director and their family.
- Strong confidentiality, responsibility, and professionalism.
- Proficient in Microsoft Office and other office software, with good document handling skills.
- Fluent in English and Mandarin, with strong written communication skills.
- Excellent time management skills, able to handle multiple tasks independently and meet deadlines.
- Able to accept overtime and flexible working hours, with the ability to adapt to different time zones.
- Able to communicate and collaborate effectively with colleagues from different countries and cultural backgrounds.
