DESCRIPTION
We are seeking a highly organized and fast-paced Project Administration Executive to join our team. The Project Administration Executive to assist Operations Manager to coordinate the L1 operations, preventive, predictive and corrective maintenance of various security systems. This includes ensuring the reliability and performance of the company assets and services to optimise functionality and client satisfaction. Responsibilities also include detail oriented and systematic planning of maintenance and projects schedules.
RESPONSIBILITIES
- Contract & Compliance Documentation:
- Prepare and manage all documentation related to contracts
- Work Coordination:
- Coordinate meetings and discussions with customers, vendors, and internal departments.
- Manage administrative tasks such as correspondence, data entry, and maintaining records.
- Prepare and compile service reports for billing purposes
- Prepare and compile PTW, Risk Assessment etc as required by client
- Inventory Control:
- Manage inventory to manage stock usage
- Vendor and Client Management: Manage relationships with vendors, service providers, and clients.
- Performance Monitoring: Assist Operations Manager to monitor project progress, implement mitigation strategies to ensure project success.
- Analyze performance metrics and recommend improvements.
- Documentation: Maintain accurate and up-to-date project documentation
REQUIREMENTS
Education: Diploma in a relevant field (e.g., Business, Computer Science, Engineering, IT). Technical certifications in CCTV and Access Control systems are highly recommended.
Experience: A minimum of 3-5 years of experience in administrative role in security system, construction industry
