The Support Associate plays a critical role in supporting the logistics and customs compliance functions by managing accurate and timely shipping documentation, validating customs entries, maintaining filing systems, and ensuring that data is accurately updated in the company’s ERP system. The ideal candidate is detail-oriented, organized, and familiar with international shipping documentation, customs compliance regulations, and ERP systems.
Shipping Documentation & Coordination
- Prepare accurate Commercial Invoices, Packing Lists in line with supplier and destination-specific requirements.
- Liaise with internal & external teams (suppliers, demand planning, trade compliance) to gather accurate shipment details for documentation.
- Ensure all documents are generated and shared in a timely manner to support smooth shipping operations.
System & Data Management
- Input and update shipment-related data in NetSuite, ensuring accuracy of transactions.
- Monitor shipment status, ensuring alignment between documents and ERP records.
- Ensure created CIPLs are filed using the correct naming conventions and saved in the appropriate location.
Administrative Support & Coordination
- Flag discrepancies in shipment information to relevant teams for resolution.
- Assist in extracting and compiling required shipping documents, when needed.
- Support the freight operations team by managing high volumes of documentation across multiple regions, when required.
- Support the freight operations team by validating customs documents when required.
Process Improvement & Reporting
- Assist in identifying process inefficiencies or documentation gaps, and suggest improvements.
- Support the Freight or Compliance team in generating weekly/monthly reports on shipping activities, broker performance, and compliance metrics.
- Participate in internal or external audits by preparing and organizing required documentation
- Diploma or Bachelor’s degree in Logistics, Supply Chain, International Trade, or a related field.
- Minimum 2 years of experience in freight documentation, logistics admin, or trade compliance support.
- Prior experience using ERP systems (e.g., SAP, NetSuite, Oracle) is strongly preferred.
- Familiarity with Incoterms and standard international shipping documents.
- Strong attention to detail and high level of accuracy.
- Excellent organizational skills and ability to manage multiple shipments simultaneously.
- Proficiency in Google Workspace, especially Google Sheets and Google Docs.
- Effective verbal and written communication skills in English.
- Ability to work independently and in a fast-paced environment with tight deadline
- Exposure to freight forwarding coordination or basic logistics processes.
- Basic understanding of export documentation standards or working with shipping providers.
- Knowledge of, and passion for the gaming/ esports industry
