Job Description - OVERVIEW
- To coordinate and be responsible for the planning, execution, monitoring and evaluation of programmes/initiatives/activities/campaigns and ensure the smooth running of daily operations of the Fundraising & Volunteer Management (FRV) function in ACMI.
- Coordinate all fundraising and volunteer management programmes/initiatives/activities/campaigns for ACMI and lead efforts to maintain and grow sustainable funding and pool of volunteers.
- Collaborate with the various functions in ACMI to secure key partnerships, support donor cultivation and retention, execute fundraising programmes/initiatives/activities/campaigns, and ensure the long-term financial sustainability of the organisation. Develop and run the recruitment strategy for volunteers, reactivation strategy for passive volunteers, volunteer management policies, practices and training.
KEY RESPONSIBILITIES
Core Tasks:
- Coordinate and be responsible in the planning, execution and monitoring of the FRV’s strategy, the various programmes/initiatives/activities/campaigns to ensure the smooth running of daily operations of the Fundraising & Volunteer Management (FRV) function in ACMI in accordance with the various operating guidelines issued by the Archdiocese, Government agencies and ACMI. Ensure that ACMI’s Philosophy, Vision and Mission are integrated and adhered to in all aspects of work.
- Fundraising
- Work with Management to execute the strategic fundraising plan; identify funding needs and direction before developing, executing, monitoring, and evaluating the relevant programmes/initiatives/activities/campaigns.
- Review, plan and execute innovative fundraising initiatives such as specific campaigns and special events to support fundraising efforts.
- Identify, and outreach to individuals, corporates, and foundations to build and manage pipeline of existing and future donors.
- Donor Management – maintain and update donor records, proactively seek out and build relationships with existing donors through consistent, sustained, and valuable engagement to maintain donor loyalty and conversion. Prepare donor reports, appeals, and impact updates to internal and external stakeholders.
- Volunteer Management
- Develop and implement volunteer management policies, practices, and processes.
- Develop, execute, monitor, and evaluate the volunteer publicity and recruitment efforts, orientation, training programmes as well as volunteer recognition and engagement programmes.
- Follow-up on volunteer enquiries, screen, interview, onboard new volunteers and assign/deploy them for the various programmes/initiatives/activities/campaigns.
- Manage volunteer database and prepare timely progress report on budget and statistics. Provide support for in-house and external talks, road shows, events, and outreach activities.
- Finance and Accounts, and regulatory compliance
- Prepare and monitor FRV’s yearly budget.
- Implement checks and controls to ensure proper accounting records and to safeguard against misappropriation of the organisation’s assets.
- Ensure compliance with statutory fundraising requirements and Code of Governance, i.e., application of licenses and appeals where applicable. Ensure all volunteers data and information is captured, stored, and managed in compliance with Personal Data Protection Act (PDPA).
- Administrative Duties
- Prepare and collate monthly reports.
- Provide secretariat support for all FRV related matters. Undertake any other duties as required.
Qualifications and Education Requirements
Minimum a recognised polytechnic or degree in Business or related disciplineExperience
- At least 3 years of working experience in sales/marketing/events/fundraising/client engagement. relevant Experience in fundraising, preferably in the non-profit sector would be advantageous.
- Familiar and comfortable working in settings such as communities, religious voluntary welfare organisations, partners frequently with other agencies and ministries.
- Working with people of different nationalities and cultures.
- Strong project management skills.
- High standard of numeracy and budgeting skills.
- Adaptable and flexible in juggling multiple projects and working under pressure. Creative and proactive approach to work, especially in digital engagements.

- Highly organized, resourceful, and able to juggle several tasks simultaneously.
- Good MS Office skills and technological savvy. Experience in fundraising and volunteer management.
