Job Summary
Reporting to FDS Supervisor/Manager, you will be accountable for the accurate and timely delivery of projects/requests for various regional/global accounts supported from the Singapore Creative Center.
Responsibilities:
The job scope includes, but is not limited to:
1. Project coordination/governance
- Coordinate and support projects/requests from Sales and Scent design group to meet deadlines and needs.
- Communicate effectively and work closely with various departments (Sales, Scent Design Management, Laboratories, Shipping Assistant, Customer/Sales Service, FAD, GRA, other Affiliates and Creative Centers, etc) to meet project requirements.
- Oversee team awareness of the Cost to Serve; cost associated with projects and ensure actions are taken to optimize when possible.
2. Logistic management
- Responsible for delivering projects/requests successfully from a logistic perspective.
- Create sample order in PUMA/SAP for oil, capsule and application request.
- Support Scent Design Group with sending of oils and samples (non-SAP request) to affiliates for evaluation purpose.
- Following the project/request through until closure.
- coordinate and follow up closely with Labs / Customer Service to ensure oils/samples are prepared on schedule. Prioritise requests when needed.
- receiving and sorting of oils/samples/base for shipment.
- print labels for special requests using Smart Label Printer.
- ensure proper labelling and quality control prior shipment.
- arrange shipments to affiliates/customers and notify requesters/recipients on despatch details.
- arrange sample delivery by local courier within Singapore for internal staffs/customers.
- Liaise with courier company on shipping related issues.
3. Business Process Management and System
- Develop full understanding of sampling and shipping process.
- Agile usage & navigation of IFF tools and systems ensuring information is up-to-date and according to business standards.
- Contribute to identify, develop, and share best practices.
- Maintain records in PUMA and SAP.
- arrange base registration and link to PUMA project.
- Monitor qc result for oil request and close Sample orders in SAP (PGI).
- Support gathering, analysing, and reporting for projects and within the creative center.
4. Document generation
- Generate documents in SAP (CoA) and Clover (MSDS, PDS, IFRA, etc).
5. Knowledge Management
- Ability to work and contribute to knowledge management within team members, projects, accounts and Creative Centers.
6. Account/Customer understanding
- Developing understanding of the accounts way of working/operation based on Category/Region/Job scope.
- Building knowledge of Commercial V2M strategies.
- Build and maintain customer selling portfolio for the region/globally.
7. Back up for peers
Cover other FDS/Shipping duties during their absence.
