Who We Are Looking For
We are looking for a maternity cover to support Office Administration matters for a period of 3.5 months, from the week of 28th of July to December 2025. Type: Flexible – either Internship or Contract position.
Working Days: Monday to Friday.
Office Administration
- Office & Pantry Management: Oversee weekly pantry and office supply stock; manage equipment and coordinate with maintenance service providers
- Cleaning Services: Supervise office cleaner; track monthly timesheets and submit to vendor for payment
- Access Card Management: Liaise with building management to manage external access cards; oversee internal access card distribution and record-keeping
- Client Visit Coordination: Send email notifications to wider teams regarding upcoming client meetings held in the office
- Repairs & Maintenance: Log and follow up on all repair and maintenance issues within the office
- Hot Desking Oversight: Ensure staff are adhering to hot desking practices and maintaining shared desk spaces
- Mailbox Management: Regularly monitor and manage incoming and outgoing mail and courier deliveries
- Scheduling & Rotation Management: Liaise with medic-on regarding scheduling and work rotation of medics
- Resignation & Replacement Coordination: Work closely with rig managers to manage medic resignations and coordinate timely replacements
- Timesheets & Salary Processing: Communicate with medics to collect timesheets and assist with monthly salary calculations
- Training & Administration: Liaise with health deliver on medic training requirements and administrative documentation
- Finance Liaison: Coordinate with the finance team to review and verify medic invoices for payment processing
Information Security
Protect the data and systems of Crisis24 and its stakeholders by adhering to policies, reporting incidents and potential problems, completing regular training, and identifying opportunities for improvement.
