About
Our client is a leading international law firm with a Singapore disputes practice focused on international arbitration and complex cross-border commercial disputes . Matters frequently involve sustainability & energy (power projects, emissions compliance, carbon markets) and emerging technologies (digital assets, AI-related trading systems), alongside broader commercial disputes. You’ll support partners and fee-earners across Singapore.
Key Responsibilities
Disputes / Arbitration Support
- Prepare, format, and proofread correspondence, pleadings, witness statements, exhibit lists, and hearing bundles (print & e-bundles).
- Diarise procedural deadlines; maintain timetables across SIAC/ICC and other institutions; assist with e-filing/portals .
- Coordinate hearing logistics (venues or VC links, interpreters, transcription, couriers) and manage authorities/case files.
- Assist with document production for technical materials (specifications, schedules, emissions data).
Executive & Team Secretarial
- Complex calendar management across time zones; schedule internal/external meetings.
- Draft emails, prepare agendas, take minutes; track action items to closure.
- Manage travel (flights/hotels/visas/itineraries) for hearings and business trips.
Billing & Timekeeping
- Open matters; support time entry ; prepare billing proformas ; assist with e-billing ; liaise with finance on WIP/AR items.
Client & Stakeholder Liaison
- Day-to-day coordination with clients, co-counsel, tribunals, experts, and vendors ; maintain strict confidentiality .
Office/Admin Systems
- Maintain accurate digital/physical filing via DMS (e.g., iManage/NetDocuments ); ensure version control and precedent hygiene.
- Support conflicts/KYC requests and basic corporate searches (e.g., ACRA extracts) as directed.
Requirements
- 3–5+ years as a legal secretary in an international or leading local firm; arbitration and/or litigation exposure preferred.
- Advanced MS Word (styles, TOCs, cross-references, track-changes); strong PowerPoint/Excel; meticulous proofreading and grammar.
- Comfortable with hearing bundles/e-bundling , deadline discipline , and multi-time-zone coordination.
- Experience with time/billing systems (e.g., Intapp/3E ) is an advantage.
- High standards of confidentiality , judgement, and client service.
- Curiosity and comfort navigating energy/sustainability and/or tech/digital-assets/AI terminology (training provided).
Nice To Have
- Prior support for SIAC/ICC/LCIA arbitrations.
- Familiarity with hearing logistics (transcription, interpreters, exhibit/indices).
- Exposure to energy projects documentation or carbon markets workflows; comfort with data-rooms and technical documents.
