Responsibility

  • Provide general admin support to the team.
  • Responsible for data entry, filing, scanning and documentation works.
  • Co-ordinate with customers, vendors and internal personnel to ensure smooth operations.
  • Ad-hoc administrative duties as per assign by supervisor.

Requirements:

Job description

Sales, Service / Direct Sales Co-ordinator

  • Responsible to monitor and update Order Direct / Service Sales Schedule.
  • Feedback Order Direct Sales Schedule (ODSS) report on every Monday.
  • Prepare draft suppliers purchase order.
  • Coordinate with suppliers, manufacturers, customers, sales engineers & courier services for order acknowledgement, delivery schedule and arrangement based on Order Direct / Service Sales Schedule.
  • Photo taking and physical inspection upon receipt of delivery from supplier (Coordinate with Material Officer).
  • Coordinate the approval of payment for PO with SIC and submit to Accounts Department.
  • Prepare packing list and label for customers’ goods.
  • Prepare of draft DO/INV/PFIV.
  • Scan and backup all deliver documents in server.
  • Circulate quotations & orders secured with supporting documents to engineer in charge.
  • Ensure delivery documents are compiled and returned with essential acknowledgement such as vessel stamp and export permit, for filing.
  • Support sales department in preparing sales documents for quotation submission.
