Job purpose:
This position is responsible for the supporting of all Asia branches regarding Physical Security and Facilities Management / Infrastructure for office building, Production and DR Data Centre as well as BCP site in Singapore. Interface with the building landlords, data center service providers and relevant parties for all FM/Physical Security related matters and ensure that FM & physical security related contracts are well maintained to provide necessary supplies and services.
Supporting in the local regulatory topics and reporting and to ensure relevant internal requirements (e.g. Physical Security Standard of IT equipment rooms and IT components, Key Management Guideline, GOP Global Outsourcing Policy) and external regulatory requirements (e.g. MAS Technology Risk Management Guidelines, MAS Outsourcing Guidelines) are highlighted and fulfilled.
Maintenance, safety and security of office premises including overseeing renovation and relocation projects and after-office-hour standby support in the event of office emergencies, business continuity activation, facilities related alarms and physical security incidents.
Key activities:
- Ensure smooth running of daily building and facilities operations and work closely with the respective Building Managements and 3rd party service providers.
- Act as primary contact point for all FM and Physical Security tasks in Singapore and establish guidelines and objectives to improve work efficiency and operational controls.
- Implement and operate workplace technology and physical security systems, e.g. occupancy sensors, smart lockers, physical access control system, closed circuit television (CCTV) and alarm system across Asia.
- Establish and review the local security strategy / plan for the branch and local business / recovery sites.
- Establish and implement physical security processes and ensure compliance with Bank’s security standards and local regulatory requirements across Asia.
- Steer and manage GM-OS Corporate Services Outsourcing with due consideration of internal and external requirements together with Local Heads.
- Implement sustainable practices and strategies to improve energy efficiency and reduce the environmental impact of the facilities. Assist in the collection and reporting of environmental data across Asia.
- Coordinate and supervise renovation, fit out and refurbishment projects. Plan and oversee timelines and budgets.
- Organize and manage office space allocations. Ensure optimal use of space and resources.
- Monitor facilities budgets and control expenditures. Assist in the preparation of MYP and accrual related to facilities management.
Formal education:
- Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field.
- Proven experience in facilities management and physical security or similar roles in financial institutions.
- Strong knowledge of building systems, maintenance, and safety regulations.
- In-depth knowledge of regulatory compliance, risk management, and safety practices in a corporate environment.
- Proven experience in conducting gap analyses and implementing corrective actions.
