Job Responsibilities
- Support in Document Preparation: Provide invaluable support in preparing minutes, monthly KPI reports, presentations, and other documents.
- Enhance Communication and Coordination: By handling routine inquiries and tasks, the assistant will facilitate better communication and coordination within the team and across departments.
- Logistics Support for Events: Provide essential coordination support for events, such as Kaizen Presentation Meetings held twice a year.
- Business Review Preparation: Offer critical support for business review preparation, ensuring that all materials are ready and of high quality.
- Data Analysis and Reporting: Collect, analyse, and report on key performance indicators (KPIs) to identify areas for improvement.
- Process Improvement: Assist in the development and implementation of process improvements to streamline operations and enhance efficiency.
- Project Support: Provide support for various operational excellence projects, including planning, execution, and monitoring.
- Documentation and Communication: Keep documentation related to processes, procedures, and project updates, as well as communicating effectively with team members and stakeholders.
- Other duties as assigned: This may include tasks related to administration, scheduling, or special projects as needed.
Requirements
- Minimum 2 years of working experience, preferably administrative support
- Diploma in Business Administration or equivalent
- Good interpersonal and communication skills, English at work proficiency level (written and verbal)
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
- Sharepoint experience (create and customise SharePoint sites, manage permissions, and utilise collaborative features like workflows)
- Able to work independently under minimum supervision within a team environment
- Display high level of professionalism and possess high level of integrity
