Responsibilities:
- Manage calendar of Managing Director
- In charge administrative procedures of the meetings (coordination and setting up) including meeting support and travel arrangements with video and teleconferences etc.
- Prepare presentation materials, maintain reports, meeting minutes, correspondences and official letters
- Manage document filing (both physical and digital) in accordance with ISO or Company standards
- Handle incoming calls, emails and general enquiries professionally
- Assist in ISO / OSHA / Any internal and external auditing criteria
- Assist in the preparation of tender submissions, vendor qualifications submission and project documentation
- Track and update project records
- Coordinate office maintenance, supplies and equipment servicing
- Assist in ad hoc office administration requirement
Requirements:
- Diploma in Business Administration
- Proficiency in Microsoft Word / Excel / PPT is a must, familiar with basic document control systems
- Preferably at least 2 years relevant experience in Construction or Engineering firms
- Strong attention to detail, organizational and time management skills
- Good written and verbal communication skills in English & Chinese
- Ability to multitask and work under pressure in a fast-paced environment
- Team player with a proactive and responsible attitude
- Familiar with BCA contractor registration
