Education: Local Polytechnic Diploma in tourism or hospitality (Preferred)
Working Experience: At least 1 year experience as a tour guide or in travel related work is required
About the Role
We’re looking for an energetic and motivated individual to help execute daily office operations and travel tasks. This is a dynamic role that blends office ops with opportunities to travel, with a bit of personal assistance and event assistance, making it perfect for someone who enjoys variety, takes initiative, and has a helpful spirit.
What You’ll Be Doing
Office Operations
- Arrange catering, lunch orders, and other office and team event needs
- Receive and manage deliveries, couriers, and office inventory (e.g., merchandise storage and IT storage)
- Ensure the office remains tidy, organized, and well-stocked
- Report any maintenance issues or repair needs and coordinate with vendors to fix issues.
- Conduct research and source competitive quotations for office supplies or event vendors
- Assist with office moves and general administrative tasks
- Assist with guest access or lobby pick ups
Event Assistance
- Act as concierge for event planning, assist on event days and with in-house activities
- Travel with team on official offsites to assist with administrative and logistical matters - such as foodie research and reservations, activities bookings, deliveries and pick ups, on-ground purchases, venue check ins and returns, research and lead area tours
- Conduct Singapore tours for overseas guests and colleagues
Personal Assistance to Leadership Team
- Coordinate occasional car servicing, drive and follow leadership team to meetings, make purchases and run errands as needed
- Notetaking during meetings
What We’re Looking For
- At least 1 year of work experience as a tour guide
- Interest to learn about office operations and internal events
- Ability to travel on short notice
- Basic usage of spreadsheets and word documents
- A proactive mindset—you enjoy improving small inefficiencies and finding better ways to do things
- Multitask - able to juggle multiple priorities when needed
- Adaptability - you don’t mind learning and stepping in wherever needed
- Able to learn on the go - whether it’s a new coffee machine or a new software tool, you’re quick to pick things up, and teach others how to do so
- A caring and helpful approach - you thrive in making others’ lives easier
- Flexible with working hours - availability beyond our standard office hours (10am - 7pm) may be required based on business needs
- Good command of English
- Driving license required
